Beta, waiting-list and Founders terms

Who can join?

The beta and waiting list are intended for people operating clubs, camps, activities or events in the United Kingdom. Joining the list is free and does not oblige you to buy JoinMyClub.

Joining does not guarantee a particular onboarding date. We may invite customers in stages while the service is tested and may decline an application where the service is not suitable or safe for the proposed use.

Free waiting-list Founders offer

Eligible organisations joining the free waiting list by 1 March 2027 may receive Founders annual pricing for one year from their first paid billing date. Founders annual pricing is normally nine times the corresponding monthly price.

Eligibility and the precise plan price will be confirmed before purchase. The discount applies to eligible Core, Camps and Merch annual prices. Events are charged separately per published event and do not receive a Founders discount.

£50 waiting-list deposit

Where we make the deposit option available, a £50 payment secures the following additional benefits:

• Founders annual pricing for two years from the first paid billing date, including after 1 March 2027;
• the full £50 held as account credit and applied to the first annual invoice or to the first monthly invoice and, if needed, subsequent monthly invoices until used; and
• priority help importing existing customer data.

The deposit does not include priority onboarding. Onboarding is designed to be automated. The deposit offer closes on 30 November 2026 unless withdrawn earlier for a lawful reason affecting our ability to provide it.

Refunds and cancellation

Except for statutory cancellation rights and the launch guarantee below, the waiting-list deposit is non-refundable if you decide not to proceed. It cannot be transferred or exchanged for cash, but unused credit remains available to the original customer while their entitlement remains valid.

If JoinMyClub is not accepting live paying clients by 31 March 2027—whether through self-service or manual onboarding—we will refund the deposit in full.

If you buy mainly for purposes outside your trade, business, craft or profession, you may be a consumer and have a statutory 14-day cancellation right for an online purchase. We will provide the required cancellation information with the deposit checkout. Nothing in these terms limits statutory rights.

Prices, taxes and future subscriptions

JoinMyClub is not currently VAT registered. Prices shown are the total JoinMyClub price currently payable, excluding third-party charges such as Stripe processing where clearly stated.

Founders Pricing protects the underlying JoinMyClub price for the stated discount period. If we become required to charge VAT or another tax, that tax may be added from a future billing or renewal date after appropriate notice.

A future subscription is a separate purchase. Before payment, we will show the selected plan, add-ons, billing period, renewal price, cancellation arrangements and the customer terms that apply.

Beta operation

Beta software may change and may occasionally be unavailable. We will not ask an organisation to place real participant data into the platform until the relevant operational privacy and data-processing terms are available. Draft setup does not permit registrations or participant imports into unpublished programming.

Changes and contact

We will not retrospectively remove a paid deposit credit or shorten an acquired Founders period. We may clarify these terms or change an offer before it is accepted. Material changes affecting an existing participant will be communicated directly.

Law

These terms are governed by the law of England and Wales. The courts of England and Wales will have jurisdiction, subject to any mandatory rights available to consumers.
