Information we collect
When you join the beta or waiting list, we collect your name, email address, club or organisation, website if supplied, approximate number of active groups, current registration method, referral code and marketing preference.
We also receive information you include in emails or other communications. Our hosting and security providers may process limited technical information such as IP address, browser details, request times and security logs.
This marketing form is for people who run clubs, camps and events. Please do not submit information about children, parents, medical needs or safeguarding matters through it.
Why we use it

| Manage the waiting list, Founders eligibility and referral attribution | Taking steps at your request and our legitimate interest in running the launch fairly |
| Send product news and occasional marketing | Your consent, where you select the optional marketing box |
| Prevent spam, protect the website and investigate faults | Our legitimate interests in security and service reliability |
| Meet accounting, tax and legal duties if you make a payment | Legal obligation and performance of our contract with you |
You can withdraw marketing consent at any time by emailing us or using an unsubscribe link. This does not affect service messages about an application, payment or account.
Who receives it?
We use service providers to host the website and database, protect traffic and send email. These currently include OpenAI Sites and its Cloudflare infrastructure, and Brevo for transactional and consented marketing email. Stripe will process payment and billing information if you later choose to pay a waiting-list deposit or buy JoinMyClub.
We disclose information only where needed to provide the service, comply with law, establish or defend legal rights, or complete a business transfer with appropriate safeguards. We do not sell personal information.
International processing
Some providers may process information outside the United Kingdom. Where UK data protection law requires it, we use an adequacy decision or approved contractual safeguards and assess the protection available.
How long we keep it
- Unsuccessful or inactive beta and waiting-list enquiries: normally up to 24 months after our last meaningful contact.
- Marketing records: until you withdraw consent or we stop the relevant marketing, with a minimal suppression record retained so we respect your choice.
- Contracts, payments and related accounting records: normally six years after the relevant relationship or accounting period.
- Security and diagnostic logs: for the shorter periods set by our providers unless needed to investigate an incident.
We may keep information longer where a legal claim, investigation or statutory duty requires it.
Your rights
Depending on the circumstances, you may ask for access, correction, deletion, restriction, portability or an objection to processing. Where we rely on consent, you may withdraw it. Email us to exercise a right; we may need to verify your identity.
You can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint. We would appreciate the opportunity to address your concern first.
The JoinMyClub platform
This notice covers the marketing website and waiting list. Before organisations enter real staff, parent or child information into the operational platform, we will provide the relevant platform privacy information and data-processing terms. Organisations will generally control the participant information they enter, with JoinMyClub providing the platform as their processor.
Changes
We will update this notice when our services or providers change. Material changes will be brought to affected people’s attention where appropriate.
